1. Personal Data

We publish this document to clarify why we collect and process personal data within the scope of our business activities:

  1. What is personal data?

These are all pieces of information that allow distinguishing one person from others without much effort. They may relate directly to that person (such as name and surname, identification number, or sometimes even an email address or online account), or to characteristics that do not directly describe the person. For example, data concerning their traits, health status, opinions, place of residence, addictions, race, or religion.

  1. What personal data do we process in our case?

We process data provided by our Clients, Contractors, and Employees in connection with the use of our services, cooperation with us, or employment.

  1. What does data processing mean?

Processing means all activities we can perform with personal data — both active use such as collecting, obtaining, recording, combining, modifying, or sharing, as well as passive activities such as storing, limiting, deleting, or destroying data.

  1. Who is the Data Controller (i.e., who has influence over data processing and security)?

  1. On what legal basis and for what purpose do we process your data?

Every processing of your data must be based on a proper legal ground in accordance with applicable law. Such basis may be your consent to data processing or other legal provisions contained in the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (known as “GDPR”) or various national laws such as statutes or regulations.
Your data may be processed by us for several different purposes, for example:

  • You may provide us with your data by sending an email; in this case, your data is processed based on the consent you give automatically when sending your data (e.g., your email address). Your consent is voluntary — remember that you can withdraw it at any time. In such case, we will promptly delete all information you provided unless you became our Client.
  • If you are our Client or interested in using our services, your data is processed in connection with a contract concluded with you or in preparation for such a contract. This always takes place with your knowledge and will. By expressing your intention to conclude a contract, you know what personal data will be required to sign it, and after signing, you are aware what data you provided or will provide later.
  • We may also process your data in connection with the need to ensure the security of our IT network and information. This occurs when you use our IT infrastructure or connect to it, e.g., by visiting our website or sending us messages. This is our legitimate interest under the law.
  • If you are interested in working with us, your data is processed in the form of the application or CV you send. This is done with your knowledge and written consent, which you may withdraw at any time. In such a case, your candidacy will not be considered, and we will promptly delete all your provided data. Upon employment, further data processing rules and mandatory scope of data transfer and storage are determined by labor law regulations.
  1. To whom do we disclose your data?

According to applicable law, we may disclose your data to entities processing them on our behalf, e.g., postal operators, accounting offices, IT service providers, or other subcontractors indicated in the contract with you. We are also obliged to provide data upon request to authorized entities under other legal provisions (e.g., courts or law enforcement agencies). Disclosure will occur only if they submit a request indicating a legal basis authorizing them to do so.
We do not foresee transferring your data to third countries or international organizations outside the European Union economic area. Within the EU, GDPR ensures the same level of data protection in all member states. The GDPR text is available at:

  1. How long will we process your data?

We pay great attention to limiting the scope of collected data and processing time to the necessary minimum. To this end, we systematically review physical and electronic documents, deleting unnecessary ones whose retention period has expired. Note that the processing period may depend on separate laws beyond our control that may require us to store your data regardless of your will or wishes, e.g., labor law, social insurance law, or accounting regulations.
If you have personally used our services and we have concluded a contract, we process personal data for the contract duration and after its expiration or termination until the limitation period for claims or until the performance of rights and obligations under laws including legal advisor regulations and tax/accounting laws.

If your data would be used for other purposes than originally collected, you will always be informed and may object.

  1. What rights do you have regarding your data?

If we process your personal data, you always have the right to:

  • request access to data – under Article 15 GDPR,
  • rectify data – under Article 16 GDPR,
  • request erasure – under Article 17 GDPR,
  • restrict processing – under Article 18 GDPR,
  • object to processing – under Article 21 GDPR,
  • data portability including obtaining copies – under Article 20 GDPR.

You may also withdraw your consent to personal data processing, in which case we will promptly delete your personal data unless legal obligations require further processing. For example, if you request deletion of your email address due to newsletter resignation, we will immediately remove it from the mailing list.

If you believe your rights were violated or your personal data security was compromised, you have the right to lodge a complaint with the supervisory authority, currently the President of the Personal Data Protection Office.

  1. Automated decision-making and profiling information.

No automated decisions (without human involvement) are made based on your data. We also do not undertake any profiling activities.

  1. How do we protect your data?

To ensure the security of your data, we apply legally required organizational and technical measures. Our premises are physically secured to prevent unauthorized access. Our employees have proper authorizations and process data only within the necessary scope to perform their duties properly.

  1. Protection of minors’ privacy

Our website does not monitor or verify users’ age or senders/recipients of messages. Contact information from visitors (e.g., phone numbers, email addresses) is used to fulfill orders or send company information.
Minors should not send any information, place orders, or subscribe to our services without parental or legal guardian consent. We require such consent whenever we become aware that a user is a minor (“child”) under national data protection laws.

 

2. Cookies

  1. What are cookies and what are they used for?

Cookies are text files stored on your device and used by the server to recognize the device upon reconnecting. Cookies are downloaded every time you enter and exit a site. Cookies do not identify you personally but only your device – e.g., to display content optimized for your browser and device capabilities (resolution, desktop or mobile version).
Cookies are most often used by counters, polls, online stores, login-required pages, ads, and for monitoring visitor activity. Cookies help remember your interests and adjust displayed content and ads accordingly.

Almost all online services use cookies nowadays: search engines, news sites, blogs, online stores, government sites, newspapers, etc. Our site also uses cookies.
